Getting started...

  • Decide what kind of music night you want, classical, pop, karaoke etc.
  • Think of everyone you know who can play a musical instrument or is any way musical - friends, family, and work colleagues. 
  • Tell them what you are doing and ask them to get involved. 
  • Have a Buffet or Wine and Cheese reception just before or after the event.  Include this in the cost of the ticket.
  • Approach local companies for goods and/or prizes, its best to start with personal contacts first.  Others should be contacted by letter stating what you are doing, and then followed up with a personal call.  You could have a draw during the interval to raise extra funds and get sponsored prizes for this.
  • Decide on whether to send out tickets or charge at your door.  It's best to ask people to RSVP so you can get confirmation of numbers.  The more people who pay in advance the better. Decide what price to charge for the tickets - €5/€10 charge with a target audience of 100/50 should cover costs and raise the most money. 
  • Decide on whether to hold the event in a local hall or at your own home or garden.  Make the necessary arrangements if you need to book a hall in advance and get some people to help you set up for the evening i.e. chairs, toilet facilities etc.

 

What you'll need:

  • An appropriate venue in relation to the numbers expected. 
  • Wine Receptions are always good warm-ups - try and get the wine sponsored with cheese and crackers etc.  Decide on the layout for this also.
  • Musicians - Establish a list of confirmed musicians who can play different instruments and draw up a list of music that will be played.  Decide on when the interval should be and for how long. Depending on the type of evening you have in mind don't forget to provide a general programme of events for your guests.
  • A good public address system is essential - the venue may already have these available but these can be easily hired for out for the night.
  • Raffle - This could easily be organised with good prizes from local businesses.
  • Boots for Loot - hang up the walking boots you will be wearing on the trek in a prominent place and encourage everyone to fill them with loose change.
  • Invites - This adds that important personal touch and lets people know exactly why the event is being held.  A letter from Concern confirming you are taking part in the Nepal Trek may help with this.   

 

Timing:

  • When choosing the date(s) try to make sure they don't clash with any major local/national event.
  • Select 2/3 dates and circulate these among family and friends, to check availability.  Using email at work may be an option providing quick response.
  • Decide on the timing of music - Length of each piece and intervals.
