Getting started...
- Advertise the event: Simple posters can be printed to advertise the event and it may be worth asking your local stationary shop to sponsor you by donating the paper or card. The posters should state When, Where, What time, How Much and to where the funds raised will be donated.
- Decide whether to sell tickets or to charge on the day: It may be easier to charge on the day for this type of event but the advantage of selling tickets is that you know how many people you will need to cater for
- Approach local companies: for goods and/or prizes for a raffle that you can run on the day. It's best to start with personal contacts first, and others should be contacted by letter stating what you are doing, and then followed up with a personal call. Local supermarkets or wholesalers should be contacted in an effort to get the coffee, tea and snacks donated. Local restaurants should be contacted in an effort to borrow cups, saucers, cutlery plates etc for the event.
What you'll need...
- An appropriate venue in relation to the numbers expected. A church hall, community centre, sports hall or school hall are all ideal for a coffee morning. The venue should be donated free of charge for the morning of the event
- Coffee/Tea/Biscuits - In an effort to minimise costs involved ask local businesses to donate any food that you intend on offering along with the coffee, tea, milk and sugar.
Crockery - Between a few local restaurants it may be possible to borrow enough crockery and cutlery for the day of the event. They can be cleaned by the event organisers and returned to the restaurants as they were received. - Raffle - You'll need to get an appropriate number of raffle tickets, buy loads as there're relatively cheap and the more you have the more you'll sell. You will also need a couple of ‘pushy' people who are prepared to sell as many tickets as they possibly can. Try to have all the prizes well in advance of the event and local businesses are generally very generous in donating small prizes for such an event.
Timing...
When choosing the date(s) try to make sure they don't clash with any major local/national event.
Select 2/3 dates and perhaps circulate these among family and friends, to check availability. Using email at work may be an option providing quick response.
